The Occupancy Specialist is responsible for insuring the efficient operation of all certifications for move-in, annual and interim recertifications of a Section 8 community. The Occupancy Specialist is able to assume responsibility for the office in the absence of the Property Manager. Responsibilities include the following but are not limited to the job specifications contained herein. Additional duties or job functions may be required as deemed necessary by Arbor Management, LLC and its affiliates: • Answer phones and greet visitors. • Open daily mail, stamping it in, and distribute. • Generate and mail (deliver) annual recertification renewal notices 120 days in advance of the effective date. • Schedule appointments for the interview process associated with all certifications. • Conduct applicant/resident interview in a timely manner, gathering all information necessary to complete the certification process. • Submit third party verifications forms and track the complete return of those documents. • Maintain an orderly filing system of all office records. • Post data in the software system as needed. • Ensure that all reporting, records and paperwork requirements are performed correctly and in a timely manner. • Prepare for Agency/Investor file reviews. • Process MARS adjustments for Agency approval and submission to TRACS. • Submit Payroll to Human Resources biweekly, timely and accurately. • Participate in the development and implementation of positive resident relations’ programs for the property. • Comply with all local, state and federal regulations as well as all company policies and procedures. • Timely reporting of any work related injuries. • Timely reporting of any property loss or liability related incidents. • Adhere to regular attendance on the job. • Responsible for insuring a timely, efficient and courteous response to all resident requests. • Maintain a positive work atmosphere by behaving & communicating in a manner so that you can get along with residents, business contacts, coworkers & supervisors. • Responsible for reporting any unusual or extraordinary circumstances regarding the residents or the property. • Responsible for seeking educational opportunities and self-improvement for personal growth and development.
